Gemini AI is now included in every Business plan

Since Google’s January 2025 repricing, Gemini AI assistance in Gmail, Docs, Sheets, Slides, and Meet is bundled into every Business edition — no separate add-on, no extra $20/user/month fee. The price hike that came with the change is already baked into current rates. If you priced Workspace before 2025, the per-seat number went up but the AI you’d have paid extra for is now standard.

Google Workspace Questions, Answered

Is Gemini AI included or do I pay extra?

Included. As of Google’s January 2025 repricing, Gemini AI in Gmail, Docs, Sheets, Slides, and Meet is bundled into every Business plan — no separate add-on. Standalone Gemini Business and Enterprise add-ons were discontinued for new purchases. The 2025 price increase was largely the cost of bundling Gemini in.

What’s the difference between Starter, Standard, and Plus?

Starter: 30 GB pooled storage per user, Meet up to 100 participants, no recording. Standard: 2 TB pooled storage per user, Meet recording, Shared Drives, e-signatures, full Gemini across all apps. Plus: 5 TB pooled storage per user, Meet up to 500 with attendance tracking, Google Vault for retention and e-discovery, advanced endpoint management. Plus is typically required for HIPAA, 42 CFR Part 2, and other retention-driven workflows.

Can you migrate us from Microsoft 365?

Yes — this is one of our most common migrations. We move email, calendars, contacts, and OneDrive/SharePoint files into Drive and Shared Drives, convert Distribution Groups into Google Groups, and publish a Microsoft-to-Google quick-start guide before cutover. Users keep their email addresses (we update MX). Calendar history, contacts, and most file metadata are preserved.

How long does migration take?

Most SMB migrations run 1–2 weeks from kickoff to cutover. Larger environments, hybrid setups, or compliance-heavy configurations extend to 3–4 weeks. We schedule cutover during low-traffic windows — typically Friday evening or Saturday — with delta sync running through the weekend so Monday morning is a non-event.

What is Google’s actual uptime SLA?

Per Google’s published Workspace SLA, the commitment is 99.9% monthly uptime with service credits if missed. Be skeptical of marketing pages that quote “99.999%” for Workspace — that’s reserved for products like Cloud Spanner, not productivity SaaS.

Do we need backup if we have Google Vault?

Vault is for retention, legal hold, and e-discovery — not backup. It can’t restore from ransomware that reaches synced Drive content, and it doesn’t protect against an admin-side mass deletion or account takeover. Independent third-party backup of Gmail, Drive, and Shared Drives is a standard part of compliance-aware deployments and is increasingly required by cyber-insurance policies.

Can we mix edition types?

Yes — and we recommend it. Starter for shared kiosks, part-time staff, or light users. Standard for most knowledge workers (the 30 GB Starter cap fills fast for active email users). Plus for executives, anyone touching PHI/PCI data, and anyone with retention obligations. We design the mix during discovery and right-size quarterly.

Is Workspace HIPAA-compliant?

Workspace can be configured for HIPAA-aligned use with a signed Business Associate Agreement (BAA) from Google, which we execute on your behalf. HIPAA isn’t a checkbox — it’s a configuration outcome. We pair the BAA with DLP rules (Standard+), Vault retention (Plus), audit logging, and access controls. Business Plus is the typical baseline for healthcare and behavioral-health clients.

Annual commitment vs. flexible billing — which should we pick?

Annual is ~17% cheaper per seat but locks in user count for 12 months — if you remove a user, you keep paying the committed seat. Flexible billing prorates additions and removals monthly but costs more per seat. Annual makes sense for stable headcount; flexible makes sense if you’re growing fast, hiring seasonal staff, or running a 60-day pilot before deciding.
