Gmail, Drive, Meet, and Docs are easy to buy. Configuring them securely, migrating cleanly from your old platform, and getting users to actually adopt the tools is where most deployments stall. We’re a Google Cloud Advantage Partner — Workspace licensing, migration, security hardening, and day-to-day support from a Wisconsin team that knows your tenant.
Since Google’s January 2025 repricing, Gemini AI assistance in Gmail, Docs, Sheets, Slides, and Meet is bundled into every Business edition — no separate add-on, no extra $20/user/month fee. The price hike that came with the change is already baked into current rates. If you priced Workspace before 2025, the per-seat number went up but the AI you’d have paid extra for is now standard.
Buying licenses is easy. Configuring them securely, migrating data cleanly, and getting users to actually adopt Gmail, Meet, and Drive is where most self-serve and direct-to-Google buyers end up exposed.
The collaboration suite your team will actually use, plus the cloud storage, video conferencing, and admin controls to run a modern business — with Gemini AI bundled in.
Professional email on your domain with Google’s spam and phishing defense, conversation threading, and search nobody can match.
Pooled cloud storage with real-time co-authoring across Docs, Sheets, and Slides. Sharing controls, version history, and external collaboration that admins can govern.
HD video meetings with screen sharing, recording (Standard+), noise cancellation, and team messaging built into the same tab.
Centralized user provisioning, security policies, device management, audit logs, and group management — with sensible defaults configured by us.
Three plans for organizations up to 300 users. All include Gmail, Drive, Meet, Docs, and Gemini AI — differences are storage, meeting capacity, and security/compliance features. Enterprise plans available above 300 users.
Essential apps with 30 GB pooled storage per user. Right for solo operators, small teams, or shared-device users.
More storage, meeting recording, Shared Drives, and full Gemini access across all apps. The right default for most knowledge workers.
Adds Vault for retention and e-discovery, advanced endpoint management, and larger meetings. Required for HIPAA, 42 CFR Part 2, and most legal/financial retention obligations.
Need Enterprise (no seat cap), Frontline, Education, or Nonprofit pricing? Tell us your scope — we license the full Workspace portfolio as a Google Cloud Advantage Partner.
Google’s native controls cover a lot — especially in Business Plus — but compliance-regulated environments and cyber-insurance questionnaires often require independent backup and additional security layers. We size these to your actual obligations.
Independent, vendor-segregated backup of Gmail, Drive, Shared Drives, Calendar, and Contacts. Vault is for retention and e-discovery — it’s not a backup. Third-party backup protects against insider deletion, account takeover, ransomware reaching synced files, and accidental permanent deletion. Priced on quote based on vendor and retention tier.
Google’s Gmail filtering is industry-leading, but advanced threat defense layers (anti-impersonation, business email compromise detection, post-delivery clawback) are sometimes added for high-risk teams — finance, executives, healthcare. Priced on quote based on tenant and user count.
Included in Business Plus and Enterprise editions. Retention rules, legal hold, and e-discovery across Gmail, Drive, Chat, and Meet recordings. We configure retention policies aligned to your industry obligations — HIPAA, 7-year financial, legal hold workflows.
Google offers a Business Associate Agreement (BAA) for Workspace, which we execute on your behalf. Combined with Data Loss Prevention rules in Standard+, this is the foundation for HIPAA-aligned Workspace use. Configuration scope and custom DLP rules are quoted as part of onboarding.
Workspace add-ons vary by vendor and use case — we don’t publish list pricing because the right answer depends on your retention obligations, threat model, and existing controls. Ask for a quote and we’ll show you the specific vendors and rates that fit.
Staged migration with validation, cutover timed to your lowest-traffic window, and user training so the team is using Gmail and Drive the morning after — not three weeks later.
Audit current mail, calendars, and file shares. Confirm domain, DNS, and licensing. Define security baselines and cutover timing.
Provision Workspace tenant, configure 2-step verification, sharing policies, and mail flow. Stage data migration with Google Workspace Migrate or partner tools.
Update DNS (MX, SPF, DKIM, DMARC). Execute cutover off-hours. Run delta sync to capture mail in flight and reconcile calendar items.
User training with Gmail/Meet/Drive quick-start guides. Security verification, audit logging confirmed, admin handoff with documented runbook.
Monthly and annual estimates for Google list pricing — annual commitment vs. flexible/monthly billing side-by-side. Add-ons and migration fees are quoted separately.
Estimates are Google list pricing. Actual quote may include onboarding, migration, and add-on costs. Annual commitment requires a 12-month term — if user count drops, you continue paying for the committed seats. Flexible billing prorates additions and removals monthly.
2-step verification, sharing controls, and SPF/DKIM/DMARC configured before go-live. We close Google’s permissive defaults.
Mixed Starter / Standard / Plus per role — you pay for what each user actually uses, not a uniform over-license.
User training so the team adopts Gmail, Meet, and Drive — not migration-and-hope. Quick-start guides, office hours, and admin runbook.
Monona HQ, 9 Wisconsin counties served. When you call, you reach someone who knows your tenant — not a global ticket queue.
Workspace can be HIPAA-aligned with a signed BAA from Google, and we configure the controls, retention, and DLP rules that make compliance defensible — not just claimed.
HIPAA-aligned Workspace with signed BAA, DLP for PHI, sharing controls, audit logging.
HIPAA + 42 CFR Part 2 record handling, retention via Vault, encryption, access audit.
Shared-device licensing strategy, seasonal-staff onboarding, PCI-aware mail handling.
Client-data confidentiality, retention via Vault, secure external collaboration, e-discovery.
Google’s platform SLA is 99.9% monthly uptime — that’s their commitment to you. Our commitment is response time. When Workspace is delivered under a Managed IT agreement, day-to-day support comes with the SLA Credit Guarantee: 5% automatic monthly credit if we miss a published response target. Same-day response on critical issues. Licensing stays on its own billing; support rolls into the managed agreement.
Included. As of Google’s January 2025 repricing, Gemini AI in Gmail, Docs, Sheets, Slides, and Meet is bundled into every Business plan — no separate add-on. Standalone Gemini Business and Enterprise add-ons were discontinued for new purchases. The 2025 price increase was largely the cost of bundling Gemini in.
Starter: 30 GB pooled storage per user, Meet up to 100 participants, no recording. Standard: 2 TB pooled storage per user, Meet recording, Shared Drives, e-signatures, full Gemini across all apps. Plus: 5 TB pooled storage per user, Meet up to 500 with attendance tracking, Google Vault for retention and e-discovery, advanced endpoint management. Plus is typically required for HIPAA, 42 CFR Part 2, and other retention-driven workflows.
Yes — this is one of our most common migrations. We move email, calendars, contacts, and OneDrive/SharePoint files into Drive and Shared Drives, convert Distribution Groups into Google Groups, and publish a Microsoft-to-Google quick-start guide before cutover. Users keep their email addresses (we update MX). Calendar history, contacts, and most file metadata are preserved.
Most SMB migrations run 1–2 weeks from kickoff to cutover. Larger environments, hybrid setups, or compliance-heavy configurations extend to 3–4 weeks. We schedule cutover during low-traffic windows — typically Friday evening or Saturday — with delta sync running through the weekend so Monday morning is a non-event.
Per Google’s published Workspace SLA, the commitment is 99.9% monthly uptime with service credits if missed. Be skeptical of marketing pages that quote “99.999%” for Workspace — that’s reserved for products like Cloud Spanner, not productivity SaaS.
Vault is for retention, legal hold, and e-discovery — not backup. It can’t restore from ransomware that reaches synced Drive content, and it doesn’t protect against an admin-side mass deletion or account takeover. Independent third-party backup of Gmail, Drive, and Shared Drives is a standard part of compliance-aware deployments and is increasingly required by cyber-insurance policies.
Yes — and we recommend it. Starter for shared kiosks, part-time staff, or light users. Standard for most knowledge workers (the 30 GB Starter cap fills fast for active email users). Plus for executives, anyone touching PHI/PCI data, and anyone with retention obligations. We design the mix during discovery and right-size quarterly.
Workspace can be configured for HIPAA-aligned use with a signed Business Associate Agreement (BAA) from Google, which we execute on your behalf. HIPAA isn’t a checkbox — it’s a configuration outcome. We pair the BAA with DLP rules (Standard+), Vault retention (Plus), audit logging, and access controls. Business Plus is the typical baseline for healthcare and behavioral-health clients.
Annual is ~17% cheaper per seat but locks in user count for 12 months — if you remove a user, you keep paying the committed seat. Flexible billing prorates additions and removals monthly but costs more per seat. Annual makes sense for stable headcount; flexible makes sense if you’re growing fast, hiring seasonal staff, or running a 60-day pilot before deciding. We help you pick based on actual hiring patterns, not theoretical savings.
